A prominent automotive manufacturer is in search of a Temporary Paralegal and Administrative Assistant to provide professional, efficient, and effective legal and administrative support to the Group Legal Department.

Duties & Responsibilities

  • Drafting initial versions of agreements and other legal documents for review by the appropriate manager(s).
  • Performing legal research to identify relevant legislation, case law, and precedents.
  • Composing preliminary legal opinions.
  • Evaluating necessary information and creating summaries, opinions, reports, or recommendations based on the available data.
  • Assisting in trial preparation by gathering facts and analyzing legal positions.
  • Managing the company secretarial documentation for CLIENT Group SA.
  • Ensuring timely and efficient management of the invoicing and payment processes for the legal department to maintain cost-effectiveness, efficiency, and strict budget control.
  • Providing administrative support, including the regular preparation of reports on litigation and external legal expenses.
  • Drafting operational reports and managing work allocation.
  • Overseeing training, preparing communications for the business, and maintaining both manual and electronic filing systems to ensure the secure storage of contracts and other documents.
  • Becoming proficient in all IT systems related to the daily operations of the Legal Department, including document management, case management, and external counsel management systems.
  • Ordering office supplies, coordinating local and international travel, and handling various administrative tasks as needed.
  • Assisting Company Secretaries with company secretarial responsibilities, such as filing and document retention, preparing minutes, agendas, board packs, managing calendars, and submitting presentations/reports.

Desired Experience & Qualification

  • Bachelor’s Degree in LLB or a Paralegal Qualification.
  • Seven years of demonstrated experience in a commercial law firm or an in-house legal department within a large or multinational corporation, serving as a paralegal and administrative assistant.
  • Proficient in legal drafting and capable of conducting legal research, with a solid understanding of the law and its application in specific contexts.
  • Committed to timely delivery in accordance with mandates.
  • Able to work independently with minimal supervision.
  • A consistently proactive team player with a strong work ethic and a dedication to excellence.
