What is the position?

We are seeking a dynamic, articulate, and highly organized individual to assist with the administrative functions of our Industrial Development team. This position is essential for the team’s capacity to deliver high-quality results for both public and private sector clients. It is particularly suited for those who possess a strong background and enthusiasm for organization, communication, and operational support.

What will your responsibilities entail?

  • You will be responsible for scheduling and coordinating both online and in-person meetings and workshops, which may include arranging refreshments, managing venue bookings, coordinating with vendors, welcoming participants, managing attendance, and taking meeting minutes.
  • You will also coordinate and distribute reports, presentations, minutes, and agendas for meetings and workshops.
  • Your duties will include sorting, filing, and coordinating documents on both internal and external SharePoint and Zoho platforms.
  • You will manage the contact database by maintaining and updating all relevant contact lists for the Industrial Development Team in accordance with company standards.
  • Additionally, you will coordinate internal meetings and assist with ad hoc travel arrangements for team members.
  • You will support the administration of the Industrial Development team’s ongoing reporting requirements to BMA’s central functions, including finance, resource allocation, and report template preparation.
  • Formatting documents to meet BMA or client-specific requirements
  • Coordinating and ensuring quality assurance for tender compliance documents
  • Conducting tender screenings
  • Processing consultant invoices, external expenses, and internal charges in accordance with BMA’s Standard Operating Procedures
  • Maintaining up-to-date team documentation, including CVs and project histories
  • Performing additional secretarial and administrative tasks as required by the Industrial Development team

Requirements:

Essential

  • A minimum of three years of experience in business administration
  • A relevant National Diploma or an equivalent qualification
  • Proven proficiency in the MS Office Suite and online collaboration tools such as MS Teams or Zoom
  • Demonstrated expertise in Excel for data processing tasks

Beneficial

  • Experience with Zoho projects and Zoho CRM
